How to connect WuBook with HazCheckin: synced calendar and automatic traveller reports

Step-by-step guide to integrating WuBook with HazCheckin: generate the Wired permanent token, connect each property with its Hotel ID, map the room and the rate, and let the bookings from your channels arrive with the guest's details and their traveller report on autopilot.

If you distribute your accommodation through WuBook’s channel manager, HazCheckin becomes the PMS that drives it: the availability, prices and restrictions you set in your HazCheckin calendar are pushed to WuBook and from there to Booking.com, Expedia and the rest of your channels, and every booking those channels sell lands in HazCheckin with the guest’s details. From there, the usual flow: the guest checks in online and the traveller report is submitted automatically to SES.HOSPEDAJES or the Mossos d’Esquadra, on time.

What the integration does

  • Pushes your calendar to WuBook. When you block or open dates, change a price or set a minimum stay in HazCheckin, the change reaches WuBook within a minute and WuBook distributes it to your channels. Values are always sent whole, so a resend never leaves the calendar half-updated.
  • Receives the bookings from your channels. WuBook notifies HazCheckin the moment a booking arrives, changes or is cancelled, and HazCheckin reads it right away with the guest’s name, email, phone and language, as far as the channel shared them. Every half hour it also sweeps for any notification that got lost.
  • Sends the check-in link without you lifting a finger, because the booking arrives with the guest’s contact details — unlike iCal syncing, which only brings dates.
  • Respects your work. Syncing only touches bookings you haven’t handled yet: once a booking has its check-in done or its report submitted, no WuBook change silently modifies it.

Requirements

A WuBook account with the Wired option enabled (WuBook’s API; if you don’t see it in your account, ask WuBook support for it) and a HazCheckin account with at least the trial period active. The property in HazCheckin must use the same currency as the property in WuBook, because prices are sent in that currency.

Step 1: generate the permanent token in WuBook

  1. Log in to your WuBook account.
  2. Go to Account → Wired and generate a permanent token. Copy it.
  3. Note the property’s Hotel ID: the number shown in the account panel under your properties.

Treat the token like a password: it gives access to your WuBook account. HazCheckin stores it encrypted and never shows it again.

Step 2: connect the property

  1. In your HazCheckin dashboard, go to Integrations (side menu).
  2. In the WuBook card, choose the HazCheckin property you want to connect, type its Hotel ID and paste the permanent token. Click Connect WuBook.
  3. HazCheckin checks on the spot that the token can see that property and reads its rooms and rates.

Each HazCheckin property connects to one WuBook property. If you manage several, connect them one by one from the same card with Connect another property.

Step 3: map the room and the rate

Choose which WuBook room and which rate of that room the property’s calendar drives, then click Save mapping. Only standard rooms and rates with prices of their own are offered: a virtual room inherits the availability of its parent room and a derived rate inherits its prices, so there is nothing to send them.

Step 4: activate the connection

Click Activate. HazCheckin pushes the property’s whole calendar to WuBook — availability, prices and restrictions for the next 500 days — and registers in WuBook the address to notify about each booking. From then on, the HazCheckin calendar is the one that counts: whatever you change here overwrites what WuBook holds for those dates.

Step 5: let bookings flow in

Every booking created, changed or cancelled on your channels shows up in your dashboard as soon as WuBook notifies it, and the WuBook card lists each one with its status. The dates of a freshly sold booking are closed in WuBook on the next push, so the channel never offers them again.

If you connect a property with a history, HazCheckin imports the bookings whose arrival is still ahead or under way and leaves the stays that already ended behind.

Frequently asked questions

What happens if I cancel a booking in WuBook or on the channel?

If it was still pending or confirmed in HazCheckin, it is cancelled automatically and its dates become available again. If it already had its check-in done or its report submitted, it is left alone — you handle that case from the dashboard.

What if the guest changes the dates?

WuBook treats a modification as a cancellation plus a new booking, and that is how it reaches HazCheckin: you’ll see the original booking cancelled and a new one with the final dates.

Can I keep changing prices in WuBook?

Not for the mapped room and rate: HazCheckin overwrites those values every time you change them here. The other rooms and rates in your WuBook account remain yours.

Can I pause the sync?

Yes. Pause stops the pushes without losing anything; when you resume, HazCheckin sends the accumulated changes. Resynchronize sends the whole calendar again if you ever doubt WuBook holds the right values.

Can I disconnect WuBook?

Yes, from the same card. HazCheckin stops pushing changes and receiving notifications, and asks WuBook to stop notifying. Bookings already imported are kept, and you can connect again whenever you want.

Can I use WuBook and another PMS at the same time?

Yes. Each HazCheckin property connects to a single source, so you can mix properties from WuBook, Mews, Smoobu, Guesty, Lodgify, Cloudbeds, Hostaway, Amenitiz and iCal calendars in the same account.
