How to connect Cloudbeds to HazCheckin: automatic reservations and traveller reports

Step-by-step guide to integrating Cloudbeds with HazCheckin: generate your API key, link your properties and let every reservation arrive with guest data and its traveller report on autopilot.

If you run your hotel, hostel or apartments on Cloudbeds, HazCheckin connects straight to your account: it imports your properties and receives every reservation with the guest’s data — name, email, phone and even birth date and nationality when Cloudbeds has them. From there, the usual flow: the guest completes their online check-in and the traveller report is submitted automatically to SES.HOSPEDAJES or the Mossos d’Esquadra, on time.

What the integration does

  • Imports your Cloudbeds properties into HazCheckin, with name, address and location — or links them to properties you already created.
  • Syncs reservations in real time via webhooks: every confirmed or checked-in reservation in Cloudbeds shows up in your panel with the primary guest and their contact details.
  • Uses the full guest profile. Cloudbeds is the PMS that shares the most data: if the profile has a birth date, gender or nationality, HazCheckin preloads them and the guest’s check-in gets even faster.
  • Sends the check-in link with zero effort, because the reservation arrives with the guest’s email — unlike iCal sync, which only carries dates.
  • Respects your work. Sync only touches reservations you haven’t managed yet: once a booking has its check-in done or its report submitted, no Cloudbeds change modifies it silently.

Requirements

A Cloudbeds account with API access (self-service accounts can generate credentials right from the dashboard; if you don’t see the option, ask Cloudbeds to enable it) and a HazCheckin account with at least an active trial.

Step 1: generate your API key in Cloudbeds

  1. Sign in to Cloudbeds and go to Account → Apps & Marketplace.
  2. Open the API Credentials tab and click + New Credentials; name it (for example “HazCheckin”) and save.
  3. In the new row, API Key column, click Create and tick the read scopes for reservations, guests and hotels (read:reservation, read:guest, read:hotel).
  4. Copy the key (it starts with cbat_) as soon as it appears: it is only shown once.

Treat the key like a password: it grants access to your Cloudbeds account data.

Step 2: connect HazCheckin

  1. In your HazCheckin panel, open Integrations (side menu).
  2. Paste the API key into the Cloudbeds card and click Connect Cloudbeds.
  3. HazCheckin validates the key against Cloudbeds instantly and stores it encrypted; it is only used to read your properties and reservations.

After connecting you’ll see your list of Cloudbeds properties. For each one you can:

  • Import it as a new property: HazCheckin creates it with the name, address and location. Then just review the details and add your SES.HOSPEDAJES credentials.
  • Link it to an existing property: pick it in the dropdown and click Link.

Only reservations from linked properties are synced.

Step 4: let reservations arrive on their own

From that moment, Cloudbeds notifies HazCheckin by webhook on every new reservation, date change or cancellation, and HazCheckin also sweeps your account once an hour in case anything slipped through. You can force a pass anytime with Sync now.

Frequently asked questions

Which reservations are imported?

Confirmed, not-yet-confirmed and already checked-in stays. Finished stays (checked out) don’t create new bookings.

What happens if I cancel a reservation in Cloudbeds?

If it was still pending or confirmed in HazCheckin, it gets cancelled automatically (no-shows too). If its check-in was already done or its report submitted, it is left untouched — you resolve that case from the panel.

Does the API key expire?

No, as long as it is used at least once every 30 days — and HazCheckin’s hourly sync keeps it alive on its own. If you regenerate it in Cloudbeds, just paste the new one in Integrations.

Can I use Cloudbeds alongside Guesty or Lodgify?

Yes. Each integration is independent and each HazCheckin property links to a single source, so you can mix Cloudbeds properties, other PMSs and iCal calendars in the same account.
