SES.HOSPEDAJES how-to guide 2026: registration, Web Service credentials and guest reports
Step-by-step tutorial to register on SES.HOSPEDAJES, obtain the Ministry of the Interior's Web Service credentials and send your guest reports automatically.

If you run a hotel, a holiday rental or any kind of accommodation in Spain, the law requires you to report your guests’ data to the Ministry of the Interior through the SES.HOSPEDAJES platform. This guide explains why the obligation exists, how to register step by step, how to obtain your Web Service credentials and how to automate the whole process so you never have to think about it again.
What SES.HOSPEDAJES is and why it is mandatory
SES.HOSPEDAJES is the Ministry of the Interior’s platform where every accommodation provider in Spain reports guest data. It stems from Royal Decree 933/2021, of 26 October, which sets the documentary registration and reporting obligations for lodging and vehicle-rental activities.
The platform has been mandatory since 2 December 2024 and replaces the old National Police and Guardia Civil systems as well as the paper guest book. The data is made available to law enforcement: the National Police, the Guardia Civil and the regional police forces, such as the Mossos d’Esquadra in Catalonia or the Ertzaintza in the Basque Country.
In practice there are two separate communications:
- Booking notice: the basic reservation data, which must be sent when the booking is made.
- Guest report (parte de viajeros): each guest’s data (around 18 fields: full name, sex, date of birth, nationality, document type and number, support number, address, phone, email, relationship for minors, stay details and payment method), which must be reported within a maximum of 24 hours from check-in.

Who is obliged
The obligation covers any individual or company providing lodging, professionally or not:
- Hotels, hostels and guesthouses.
- Holiday homes and tourist apartments, even if you only rent out one.
- Campsites and motorhome areas.
- Rural houses and hostels.
- Agencies and operators that broker lodging.

Non-compliance is expensive. The sanctioning regime relies on Organic Law 4/2015 on the Protection of Public Safety:
- Minor infringements (data errors, late submission, partial omissions): fines from €100 to €600.
- Serious infringements (not being registered as an obliged party, not reporting guest data): fines from €601 to €30,000.
Before you start: what you need
To register on SES.HOSPEDAJES you only need one thing, but it is essential: a valid electronic identification method. It can be:
- A digital certificate (for example, from the FNMT) of the individual or company running the activity.
- An electronic Spanish ID (DNIe).
- Cl@ve.
If the owner is a company, the certificate must be the legal-representative certificate of the company. Also have your NIF/CIF, tax address and, for each property, its regional tourism registration number at hand.
Step 1: register as a lessor
- Go to the Ministry of the Interior’s electronic office, section Hospedajes y alquiler de vehículos (lodging and vehicle rental).
- Select the registration of establishments and entities procedure.
- Identify yourself with your digital certificate, DNIe or Cl@ve.
- Fill in the lessor registration form: name or company name, NIF/CIF, tax address, phone and contact email.
Submitting the form is immediate, but the Ministry can take several working days to verify the documentation and approve the registration. Don’t leave it until the last minute: until the registration is approved you cannot validly submit guest reports.
Step 2: register your establishments
Within the same procedure you register your establishments, one per property you manage:
- Commercial name of the property.
- Full address.
- Type of establishment (hotel, holiday rental, campsite…).
- Your region’s tourism registration number and capacity.
Each establishment gets its own establishment code. If you manage several properties, you will have a single lessor code and one establishment code per property.
Step 3: enable Web Service submission
This is the step many owners skip — and the one that causes the most headaches later. The registration form has a checkbox to enable communication via web service: tick it. It is what allows software like HazCheckin to send the reports on your behalf automatically; without it, your only option is typing every report by hand in the portal.
Once the registration is approved, you will receive two emails from the Ministry:
- One with the registration number, your lessor code and the establishment codes.
- Another with the Web Service username and password.
Keep both. These four keys are what any check-in software will ask you for.

Note that the Web Service username and password are not the ones you use to log into the SES.HOSPEDAJES portal with your certificate: they are separate technical credentials, meant to be used by software.
Sending the reports: manually or automatically
Once registered, you have two paths:
Manual option. Log into the SES.HOSPEDAJES portal every time a guest arrives, type their data field by field and repeat for every booking, weekends included. It works, but it doesn’t scale: each report takes several minutes and any slip (a guest arriving late at night, a weekend away) means a late report.
Automatic option. Connect check-in software using your Web Service credentials. With HazCheckin, the whole flow is covered with no manual work:
- When a booking is created, HazCheckin automatically sends the booking notice to SES.HOSPEDAJES.
- The guest checks in online from their phone: they scan their document, verify their identity and sign.
- As soon as check-in is complete, HazCheckin generates the guest report and sends it to the Ministry, always within the 24-hour window.
- If a booking is cancelled, the communication is cancelled automatically too.
Setting up your credentials in HazCheckin
Once you have the Ministry’s two emails, the setup is done once per property:
- Open your HazCheckin dashboard and go to the property.
- Open the Legal Information (SES Hospedajes) step.
- Fill in the four fields: Web Service user, Web Service password, Establishment code and Lessor code.
- Save. HazCheckin verifies the credentials right then against the Ministry’s platform and shows the “Credentials verified” badge if everything is correct.
Your credentials are encrypted at rest and used exclusively to submit guest reports.
Common errors and how to fix them
- “This lessor is not enabled for web service submission”. You didn’t tick the web service checkbox when registering (or the request is not approved yet). Go back to the electronic office and request web service access for your lessor.
- “SES.HOSPEDAJES does not recognise this user”. Check you are using the username from the Web Service credentials email, not your portal login. Watch out for stray spaces when copy-pasting.
- “SES.HOSPEDAJES does not recognise this lessor code”. Double-check the exact code from the registration confirmation email; it is different from the establishment code.
- Password rejected. If you changed it in the portal, remember to update it in your check-in software too.
Frequently asked questions
How long does SES.HOSPEDAJES registration take?
Submitting the form is immediate and most registrations are resolved within a few working days. Until the Ministry approves the registration you cannot submit valid reports, so sort it out before you start hosting guests.
Do I need one registration per property?
You need a single lessor registration and one establishment registration per property. They all share the same lessor code and the same Web Service credentials; only the establishment code changes.
Do I still have to use the Police or Guardia Civil systems?
No. SES.HOSPEDAJES has been the single channel since 2 December 2024 and replaces the previous systems.
What about minors?
Their data must be reported too. The responsible adult declares their relationship with each minor during check-in.
Do I have to keep anything else?
Yes: the documentary record of submitted reports must be kept for 3 years. HazCheckin does this for you automatically.
